Data Privacy Notice 

The Asian Theological Seminary (ATS), in compliance with the Data Privacy Act of 2012 (or the Philippine Republic Act no. 10173), is committed in upholding your right to data privacy. In keeping with this, please be informed about how we collect your data and what we do with them.  

Whether you are a prospective, current, or previous student, data privacy is your right. So, read on to understand how we are keeping your data safe. And if there are any changes, we will make sure to inform you as soon as possible.  

How We Collect Your Data 

Whenever you transact with us, submit documents or coursework, or even reply to a Moodle forum post, you are sharing your data with us.  

How We Use Your Data 

We use your data in our administrative processes like application, enrollment (or registration), payment, and the like. We might also use them to promote student life and events in the seminary, as part of our marketing efforts. However, your data gets the most use in fueling your learning experiences because we use them as feedback in designing responsive and appropriate curriculum or programs, and facilitating collaborative interactions in hybrid and fully online contexts.  

How We Share Your Data 

As a rule, only authorized personnel collect and see your data. They are your immediate instructors and administrative staff (for example, the Registrar, cashiers, IT, and others).

Regulatory bodies like the Department of Education (DepEd), Commission on Higher Education (CHED), as well as accrediting organizations like the Philippine Accrediting Association of Schools, Colleges, and Universities (PAASCU) require your data to ensure standards. Meanwhile, third-party service providers (like Moodle, Zoom, Microsoft, and more) use your data in facilitating their functions and processes. Note that these third-party service providers also have their respective data privacy notices, and you may want to visit them at your leisure.  

Rest assured, we will always obtain your consent whenever needed and implement safeguards whenever possible.  

How We Protect Your Data 

We remove your information on our servers and in our filing systems (physical and digital) after you graduate. Of course, we keep your grades and related data (such as your transcript and diploma) for when you need to retrieve them later.  

We remind your instructors to dispose of your submitted coursework after five (5) years unless they include it in their classes as a sample for newer students to use and as reference. Meanwhile, the library will save a copy of your thesis or dissertation manuscript to fuel future research and related projects.  

To protect you, our offices usually share physical files and use technologies like Secure Erase to prevent your erased digital files from getting recovered or reproduced.
